At Arcticket, we work closely with organizations and individuals to navigate complex work related visa cases so employees can focus on delivering value to the business without worrying about compliance issues.

With immigration rules becoming more stringent across many jurisdictions, we have seen a rise in visa refusals even for experienced professionals. This is why early involvement of a visa and immigration consultant is critical to ensure that applications are prepared correctly, timelines are realistic, and risks are mitigated before they impact business continuity.

One of our recent cases involved a consultant whose visa applications were refused twice for the United States, and once for Germany and Uruguay. Travel is a critical part of her role, as her contract with her client requires her to provide on-site support across multiple countries. After the latest refusal, the client questioned whether she could continue supporting their projects given the travel challenges, which put the continuity of the contract at risk.

When the consultant reached out to us, she was understandably very stressed. This client is one of her most important accounts, and losing them would have had a serious impact on her business. Our team immediately stepped in to guide her through a recovery plan. Our approach involved:

  • Analyzing the situation carefully – reviewing refusal notices and identifying potential red flags

  • Rebuilding a stronger application – gathering additional evidence, letters of support, and preparing a more compelling submission

  • Coordinating with all parties – ensuring that both the consultant and the client had a clear understanding of next steps and realistic expectations

  • Providing interview preparation and guidance – coaching the consultant on potential questions from consular officers to boost her confidence and improve the chances of a positive outcome in the next application

Visa refusals can be disheartening, but they are not necessarily the end of the road. With a well-prepared appeal or reapplication, there is often a path forward.

We are pleased to share that, after following this process, the consultant was successfully granted her visas for the United States, Germany, and Uruguay. She is now able to travel freely to support her client’s projects and fulfill her contract as originally planned.

This experience highlights that visa refusals don’t have to derail critical business operations. By involving a visa and immigration consultant early, businesses can anticipate potential challenges, strengthen applications, and ensure employees remain mobile and projects stay on track even when unexpected setbacks occur.
